Help: Main Settings

This page displays the main settings for the system. All main settings can be modified from this page. These settings should be setup prior to adding users to the system. It is possible to modify most of these settings at any time.

General

  1. Session Expiration Time: This determines the length of time a record can be locked in the system (in minutes). Record locking is needed to avoid multiple users making changes to the same information within Vertabase at the same time. For example, two users cannot edit a Project's information at the same time. Two users are also not able to edit schedule steps at the same time. Record locking is necessary to preserve data integrity throughout the system.
  2. Workdays: This determines the number of work days per week. This affects the Resource Allocation system within Vertabase.
  3. Default Work Hours: This determines the standard number of hours worked per day. This affects the Resource Allocation system.
  4. Support Company-Wide Vacations: This determines whether or not to enable the use of company-wide vacations. Company-wide vacations can be setup on an office-by-office basis. They affect the Resource Allocation system.
  5. Set Company-Wide Vacations: Click this link to launch a popup where it is possible to manage company-wide vacations (add, edit and delete).
  6. Customer Support Email Address: Sets the email address used for Customer Support. The Customer Support icon in the top, grey navigation uses this email address. Your company may choose to have customer support emails initially handled internally, or immediately sent to the support group at Standpipe.
  7. Confirm Notification Popup: This determines whether or not users will be prompted to send a notification when performing an action in the system. If this is set to no, notifications will automatically be sent (assuming they are activated within the Email Notification section of the Admin Settings).
  8. Notification Email Subject: This defines what prefix to put in the subject line of all email notifications.
  9. Number of Items to Display per Page (Global to Vertabase): This determines the number of items to display per page in cases where lists within the system are paginated. For example the Project List is paginated based on this variable.
  10. Number of Items to Display per Management Report Page: This determines the number of results to display per page in the Management Reports.
  11. Loading Popups: This determines whether or not you want to see the "Please Wait" popups that appear when certain pages in the system are loading.
  12. Confirmation Popups: This determines whether or not you want to see the confirmation popups that appear after actions are taken in the system.
  13. List Box Height: This determines the height of list boxes in the system (often used for searching by multiple criteria or adding information into the system). The default is set to 5.
  14. Currrency: This determines the currency symbol used system wide. If the symbol you need is not available as an option in the menu, contact Vertabase support (support@vertabase.com) to request that the missing symbol be added to the list of global currency options.

Projects & Documents

1. Use Project Numbers: This determines whether or not to use project numbers associated with each project.

2. Duplicate Project Numbers: This determines whether or not to allow duplicate project numbers.

3. Auto Project Numbers: This determines whether or not project numbers will be automatically generated. Numbers go up incrementally by 1.

4. Next Project Number: This determines the next number to be used for the next project created. When configuring Vertabase for the first time, input a starting number.

5. Display Project Numbers with project names: This determines whether or not to display project numbers wherever project names are also listed.

6. Document File Size Limit (Mb): This determines the maximum size of any file that can be uploaded into the system. The system will not allow users to upload documents that are above this number in file size (in megabytes).

Schedules & Budgets

1. Manage Default Fixed Expenses: Click this link to launch a popup where it is possible to manage default fixed expenses. Default fixed expenses are useable repeatedly through the system across projects. If your company has expenses that are constantly incurred across several projects (and the amount of the expense is the same each time), adding those expenses into the Default Fixed Expenses will save time when managing the budgets for each project.

2. Display Upcoming Tasks in Daily Task List: This determines whether or not to show upcoming tasks in Daily Task Lists.

3. Number of Days for Upcoming Tasks: This defines the number of days for which to display upcoming tasks in Daily Task Lists. For example, setting this to 5, would mean that 5 days worth of upcoming tasks beyond the current date would be displayed.

Issue Tracker

1. Use Issue Numbers: This determines whether or not to use issue numbers.

2. Duplicate Issue Numbers: This determines whether or not to use duplicate issue numbers.

3. Auto Issue Numbers: This determines whether or not issue numbers will be automatically generated. Numbers go up incrementally by 1.

4. Next Issue Number: This determines the next number to be used for the next issue opened. When configuring Vertabase for the first time, input a starting number.

Users

1. View Disabled Users: This determines whether or not to view disabled users in the system. Disabled users appear grayed out.

2. Use Employee Numbers: This determines whether or not to use employee numbers associated with each employee.

Timesheets

1. Use Timesheets: This determines whether or not to use timesheets. If this is set to no, all timesheet navigation and functionality throughout Vertabase, for all users, will be disabled.

2. Timesheet Coverage Period (in days): This determines the length of time for each timesheet coverage period. Timesheet coverage periods require a start date and a length. At the end of each timesheet coverage period, users will be required to complete their timesheets before a new period is provided. The start date and length of the timesheet coverage period can be changed.

3. Front Page Timesheet Alert (before timesheet period expires): This determines whether or not to display a warning on the front page when a user logs in, that they have X days to complete their timesheet. If the number of days (X) is set to 3 for example, an alert will appear 3 days, 2 days, 1 day and 0 days before the timesheet period must be complete.

4. Front Page Timesheet Alert (after the period has expired): This determines whether or not to display a warning on the front page when a user logs in, that they are late in completing their timesheets by X days. If the number of days (X) is set to 1 for example, an alert will appear 1 day, 2 days, 3 days, and so on, after the timesheet period should have been completed.

5. Redirect After Failed Completion of Timesheet: This determines whether or not to automatically redirect a user, upon login, to the Timesheet system X days after their timesheets are due. If the number of days (X) is set to 1, for example, users will be redirected into the Timesheet section of Vertabase 1 day after their timesheets are due (not including the day they are due). Therefore, to redirect users the following morning after the day timesheets are due, set this value to 0. Furthermore, the system will not allow users to access any other areas of Vertabase until they complete the timesheet period.

6. Support Overtime Rate Multiplier: This determines whether or not to set a rate multiplier on work that is considered overtime. If the rate multiplier is set to 1.5, the system will add 50% to the cost of the timesheet entry. When the overtime rate multiplier is enabled, a checkbox will appear next to each timesheet entry to define whether or not the entry is considered overtime.

7. Default Workday to Today's Date: This determines whether or not to automatically input the current date into timesheet entries, when adding timesheet data into the system.
