To open a new issue:
- Input the Subject.
- Input the Issue #. If issue numbers are being automatically generated by the system they come in three parts: a prefix, the number itself, and a suffix. Prefixes and suffixes will appear immediately before and after the number, without any delineation, unless a space or other character is put in. Therefore, in the prefix, it is possible to put "xxx " (including the space), and have the space appear between the prefix and number. If Issue Numbers are being automatically generated, a number will appear in the middle box. This number cannot be edited from this page (but can be edited from the Edit Issue page). Issue numbers do not have to be unique. If the issue numbers are not being automatically generated they appear as one text box, in which anything can be input.
- Select the project(s) that are related to the issue. This is not required. To add the project members from the project(s) selected as participants on the issue, click the Add Related Project Members link. This will refresh the page and the list of participants will appear in the section below.
- Input the Description.
- Input the Due Date. This represents the deadline for resolving the issue. It is also the date on which the Email Reminder Text
will be sent.
- Select which project(s) are affected by this issue using the Related to projects field. Selecting one or more projects is entirely optional. This field can be left with no projects selected.
- If one or more projects have been selected with the Related to Projects field, the project members from those projects can be quickly added to the issue as issue participants by clicking the Quick Add Members of Related Project link.
- Enter your own custom email notification message by typing the text into the Email Reminder Text field. This message will be sent to all issue participants on the issue Due Date.
- Select whether or not the issue will be available in the Knowledge Base. The Knowledge Base is a repository of issue threads that are available to all users (who have access to it). This makes it possible to maintain shorter participant lists but keep issue threads available to everyone for future use. People with access to an issue in the Knowledge Base who are not participants on the issue will have view-only access.
- Select whether or not the issue should be synchronized with the project members. If the issue is associated with a project and the project members are the participants on the issue, then it is possible to synchronize the project member list with the participant list. In this case, when a project member is removed from the project or a new project member is added, the participant list is modified accordingly.
- Select whether or not All Users should be participants on the issue. This opens up the issue to everyone in the system.
- Select the participants. This is either done with the features defined above or through the Select Participants popup. Note: The person opening the issue will automatically be in the participant list (and set as an owner). This can be changed.
- Select the owners. Each participant listed has an owner checkbox next to their name. Adding a participant as an owner gives them full access to the issue thread.
When finished, click the Open New Issue button. The issue will be created and you will be redirected to the View Issue Thread page.
When adding participants based on the related projects, the system appends the new participants to the existing list. Therefore, if there are 5 participants on the issue from Project X, and then Project Y is selected and the Add Related Project Members is clicked, it will not remove the participants from Project X, but will add on the new participants from Project Y.
If any participants are added or removed once the synchronize option has been set, this option will be automatically deselected. The synchronize option can be re-selected which in turn allows for the possibility of having some users synchronized from the associated projects and other non-synchronized participants.
To clear the participant list and start fresh, click the Clear Participants List link.
