The first post displayed is the issue itself, which includes the following information:

  • Subject: This is displayed inside the View Issue title bar.

  • Project(s): Issues can be associated with specific projects.

  • Owner(s): Issues are assigned one or multiple owners. Owners are those in charge of the issue. They are given full management capabilities within the system for the issue.

  • Task: Issues can be associated with specific tasks. This is done through the Schedule System.

  • Status: This is the current state of the issue. The following statuses are available:

    • Open: Issues that are ongoing and active.
    • Postponed: Issues that are delayed or postponed. This status has no functional impact on the issue.
    • Resolved: Issues that are resolved or finished. This status has no functional impact on the issue.

  • Description

  • Documents: The list of documents uploaded or linked to the issue are displayed here.

    • To download a document, click the document icon . If the document can be viewed immediately within a browser or other application clicking the document icon may open/view the file. If the document is a URL or network link, the icon will be different and clicking the icon or the URL will launch a new browser window.
    • To view a document's revision history, click on the document name or click the number in the Rev. column. This will launch a popup window showing all of the versions of the document. From this popup you can delete the document in its entirety or delete individual revisions.

  • Participant List: This is a popup window with a list of all participants on the issue.

To add Documents to the issue, click the Add Document link. This will expand the page to display these fields:

  • File Name: The location of the file to be uploaded to the issue.
  • Overwrite latest version: A checkbox used to indicate that the uploaded file should replace the most recent copy of the file if one exists.
  • URL Link: The network (or Internet) address of the file to be linked to the issue.
  • Notes: A field used to annotate the file uploaded or linked.

To add a document:

  • Enter the file name or click Browse to select the file to upload.

  • If you are uploading a file that already exists in the system, you can check off the box, "Overwrite Latest Version" to overwrite the document currently stored in the system. If you do not check this box off the file will be uploaded as a new version, and previous versions will still be stored in the system (available in the revision history for the document).

  • To add a URL into the system click the radio button next to the URL Link field, and input the URL.

Note: In the URL field, input a network path to link a document into the system without uploading it directly. For Windows-based networks, the format for linking to a document on the network is: \\machinename\path\path\path. (Other networks may use other formats.)

Note: If you are not familiar with the structure of network paths on your system, do the following:

    • Click the Browse button and find the file to link to.
    • Select the file. Information will appear within the File Name field. This is the network path.
    • Cut and paste this information into the URL Link field and submit. This will link the chosen document from the network.

  • An uploaded document will be available to all issue participants.
