Help: Global Project Report

Use this report to find project information across projects.

If there are saved reports available, they will appear at the top of the search form in a pulldown menu. Selecting a template and clicking Search will generate results from that saved report. Clicking Edit will refresh the page with the search criteria for the template displayed appropriately.

First, select a "Group By" option, which will organize the results into groups by portfolio, priority, client, status or none. Grouping will sort and total the results appropriately.

Search criteria are connected by the "and" operator. Therefore, the more search criteria selected, the more restrictive the search.

The following fields can be used as search criteria:

  • Project Name
  • Project Number
  • Project Health
  • Percent Complete (range)
  • On Schedule
  • On Budget
  • Priority
  • Project Status
  • Client
  • Portfolio
  • Manager
  • Office
  • Department
  • Start Date (range)
  • Delivery Date (range)
  • Active Projects (range): This indicates which projects were active during the date range selected.
  • Archive Date (range): The date a project was warehoused.
  • Estimated Net Project Cost (range)
  • Actual Net Project Cost (range)
  • Margin (range)
  • Total Estimated Hours (range)
  • Total Actual Hours
  • Description

Note: Project Health is determined as follows:

  • Good Project Health = On Schedule and On Budget

  • Warning Project Health = Only 1 of On Schedule or On Budget

  • Critical Project Health = Not On Schedule and not On Budget

For those search criteria that use a range, inputting a number in the first field and no number in the second field will display all results from the first number up. The reverse is true if a number is input in the second field (and no number in the first field) the report will display all results up to the second number.

Next to each search criteria along the left-hand side is a checkbox. The checkbox is used to determine which fields to display in the report. The checkboxes do not impact search criteria. So, it is possible to select all projects On Schedule but choose not to display the On Schedule column (by not checking off the box next to the search criteria name). To have all columns displayed on the search results page, click the checkbox immediately under the header all.

When finished, click the Search button to generate results.

Help: Global Project Report Results

This is the result page for the Global Project Report. Results are displayed in table format and are sortable by most field names (or headers). Clicking a header once will sort the data in descending order. Clicking the header again will reverse the order of the data.

Results may be paginated depending on the pagination setting in the Admin System. Clicking All will display all search results without pagination.

The Project Name for each result is linked to the Project View page.

The results can be filtered by several criteria, using the Filters pulldown menu at the top of the page. Those criteria include:

  • Projects in Progress
  • Projects Warehoused
  • Projects On Schedule
  • Projects Off Schedule
  • Projects On Budget
  • Projects Off Budget

The results can also be grouped by several criteria (the same as those on the search page.)

To modify the actual columns displayed, click the select columns to view link. This will launch a popup window, where it is possible to choose which columns to display on the page.

A Global Project Gantt Chart can be viewed by clicking on the Gantt Chart link or icon. This will launch a popup with the gantt chart.

Additional graphs are available by clicking on the Graphs link or icon.

Additional Statistics for these Results

The Global Project Report includes additional statistics for the results on the page. These additional statistics include:

  • Total Number of Projects
  • Number of Projects In Progress
  • Number of Projects Warehoused
  • Number of Projects By Department
  • Number of Projects By Office
  • Number of Projects On Schedule
  • Number of Projects Off Schedule
  • Number of Projects Not Using a Schedule
  • Total Estimated Hours on All Projects
  • Total Actual Hours on All Projects
  • Accuracy Rating
  • Average Percent Complete
  • Average Estimated Net Project Cost
  • Number of Projects On Budget
  • Number of Projects Off Budget
  • Number of Projects Not Using a Budget

Note: The Accuracy Rating is based on a comparison of Total Estimated Hours vs. Total Actual Hours for all projects. It calculates how accurately you have estimated how long all projects (in the results) will take.

Several options are available for printing and integrating with external software.

  • Printer-friendly version
  • Export to Outlook
  • Export to Excel
  • Export to PDF
  • Export to Google Calendar

A printer friendly version of the report is available by clicking the Print link or icon. This will launch a pop-up window with all of the report's data. From this page, use the browser's print function.

The report can be exported to MS Excel, MS Outlook, and Google Calendar by clicking the respective links Excel, Outlook and Google Calendar or their icons. You can continue to process your data further and use the printing, sharing and other features that these software provide.

For direct output to Adobe® PDF, click the PDF link or icon. With PDF you can take advantage of its portability and collaboration features.

A PopOut icon is available to view the report in an alternative format. The PopOut format displays the report in a separate window. This window can remain open while navigating other Vertabase pages and even while logged out of Vertabase. You can use the links in these reports to jump to different projects in the main Vertabase window. In this way the PopOut report acts as a navigational aid.

Export Global Project Report information to Microsoft Outlook from Vertabase Pro

On the result page for the Global Project Report you will find a link labeled "Export to Outlook." This feature allows you to export your Global Project Report information in CSV format. The format used seamlessly integrates with Microsoft Outlook. You can view your project timelines in the calendar used by MS Outlook and take advantage of its flexible formatting options for printing.

To use this feature, click the "Export to Outlook" link or its associated icon. A pop-up window will be displayed. It is a prompt asking you to indicate which project field should be displayed in the MS Outlook "Location" field. In MS Outlook the Location field is displayed in parentheses next to the project name.

Click the Export button to generate the CSV file. A prompt will appear with an option to save the file. Select "Save" to save the file.

To import the CSV file into MS Outlook, follow these steps:

  1. In MS Outlook, follow this click path: File > Import and Export... > Import from another program or file > Comma Separated Values (Windows) > File to import: > Browse...;
  2. Click the Browse button to locate the CSV file saved from Vertabase;
  3. Click the Next button;
  4. Under "Select destination folder" choose "Calendar";
  5. Under "The following actions will be performed:" click the checkbox if it is empty;
  6. Click the Finish button.

The projects should now be visible in your MS Outlook calendar. Double-clicking the project name in MS Outlook will open a window to display other project details from your Vertabase Global Project Report in the "Description" field (the large text box). The project start and end dates will also be visible in their respective fields.

Export Global Project Report information to Google Calendar from Vertabase Pro

On the result page for the Global Project Report you will find a link labeled Google Calendar. This feature allows you to export your Global Project Report information into CSV format. With this format you can import your project timelines into Google Calendar and use its features for appointments, meetings, reminders, and information sharing

To use this export feature, click the "Google Calendar" link or its associated icon. A pop-up window will be displayed. It is a prompt asking you to indicate which project field should be displayed in the Google Calendar “Where" field. In Google Calendar the “Where” field is displayed on the Event page along with other details such as the Event creator and Description.

Click the Export button to generate the CSV file. A prompt will appear with an option to save the file. Select "Save" to save the file.

To import the CSV file into Google Calendar, follow these steps.

  1. In the Google Calendar, click the Add link located to the left of the screen, just above the title “My Calendars.” A sub-menu should appear.

  2. Click the option “Import Calendar” in the sub-menu.

  3. On the “Add Other Calendar” page click the Browse button to locate the CSV file saved from Vertabase.

  4. Using the Choose Calendar field select the calendar to be populated with the information from Vertabase.

  5. Click the Import button.

  6. Click the OK button.

The projects should now be visible in your calendar. Double-clicking the project name in Google Calendar will open a page that displays other project details from your Vertabase Global Project Report in the "Description" field. The project start and end dates will also be visible in the “When” field.
