Time Usage Report: Vertabase 4.0
Help: Time Usage Report

Use this report to find timesheet data/time usage information across projects.

If there are saved reports available, they will appear at the top of the search form in a pulldown menu. Selecting a template and clicking Begin Search will generate results from that saved report. Clicking Edit will refresh the page with the search criteria for the template displayed appropriately.

The search page is divided into four sections:

  • Period: Determines the length of time for the search.

  • Group By: Determines how the results are grouped/organized.

  • Advanced Search: Available search criteria. The search criteria ca be connected by the "and" operator or the "or" operator.

  • Select Columns to View: Select which columns appear in the results.

The following Period options are available:

  • By Month
  • By Period (date range)
  • By Last X Timesheet Periods (X being a number of timesheet periods including the current one)
  • By Current Timesheet Period
  • All

The following Group By options are available:

  • Project
  • Client
  • User
  • Task
  • Work Type
  • Department
  • Office
  • Project Portfolio
  • Project Priority
  • Project Status

When finished, click the Search button to generate results.

Help: Time Usage Report Results

This is the result page for the Time Usage Report. Results are displayed in table format. You can sort the data by clicking on any of the column header names. Clicking a header once will sort the data in descending order. Clicking the header again will reverse the order of the data.

Results may be paginated depending on the pagination setting in the Admin System. Clicking All will display all search results without pagination.

The results can be grouped differently, using the Group By pulldown menu at the top of the page. Those options include:

  • Group by Projects
  • Group by Clients
  • Group by Users
  • Group by Offices
  • Group by Departments
  • Group by Work Types
  • Group by Tasks

Selecting a particular "group by" option will not modify the total amount of data being displayed, but simply regroup the data (by the new Subject chosen through the filter). Choosing a filter will also provide different Totals calculations (i.e. totals by users instead of totals by projects) that are displayed at the bottom of the search results.

Graphs are available by clicking on the Graphs icon or link.


These options are available for printing and integrating with external software.

  • Printer-friendly version
  • Export to Excel
  • Export to PDF
  • Export to QuickBooks

A printer friendly version of the report is available by clicking the Print link or icon. This will launch a pop-up window with all of the report's data. From this page, use the browser's print function.

The report can be exported to MS Excel and QuickBooks by clicking the respective links Excel and Quickbooks or their icons. You can continue to process your data further and use the graphing, printing, and other features that these software provide. See Export to QuickBooks below for more information about this export.

For direct output to Adobe® PDF, click the PDF link or icon. With PDF you can take advantage of its portability and collaboration features.

A PopOut icon is available to view the report in an alternative format. The PopOut format displays the report in a separate window. This window can remain open while navigating other Vertabase pages and even while logged out of Vertabase.


Export to QuickBooks

The report can be exported to Quickbooks Pro 2004 by clicking the Quickbooks link or icon. The following data will be imported into Quickbooks: Client, Project, Work Date, User, Hours Worked and Work Type. The rates will not be imported, since Vertabase supports project specific rates and Quickbooks does not.

To import the file into Quickbooks follow these instructions:

  1. In Quickbooks go to File - Timer.
  2. Select Import Activities from Timer.
  3. Locate the file you exported (it will have an iif extension) on your computer and select this file.
  4. The file will appear as a QB Pro Timer Import Summary. Click View Report to view further details.
  5. At this point the data is in Quickbooks and can be used for Timer Reports, Invoices, etc.

Work Types in Vertabase that do not exist in Quickbooks will be created as Items in Quickbooks.

The report can be expanded by clicking any of the results underneath the first column. The expanded view displays all timesheet entries for the result in question. Clicking Totals Only will display the total entries, hours worked and actual cost for the specific Subject.

To modify the actual columns displayed, click the select columns to view link. This will launch a popup window, where it is possible to choose which columns to display on the page.
