Help: Edit a User

All information for a user can be modified. The amount of information that can be edited is dependent on the user's access level.

If the user is switched from being a manager to not being a manager, the user will remain the manager on existing projects. However the user will no longer be available as a manager for newly created projects.

Editing a user's rate will not impact current projects and budgets, but it can impact projects created in the future.

Editing the user cost rate will impact the amounts reported using the Time Usage Report.

To change a user's password, click the Change Password link. This will launch a popup window where the user's password can be changed.

When finished, click the Save Changes button. You will be redirected to the View User page for the edited user.

Edit Vacations / Sick Days

Vacation and sick days affect a user's availability for projects.

To add vacation or sick days for a user, input the following information:

  • Description
  • Date Range (start date/end date)

Click the Add button.

Current vacations and sick days appear at the bottom of the page. Vacations can be edited and deleted using the checkboxes and clicking either the Edit or Delete button.

Disabling a User

The following logic applies when a user is disabled:

  1. User is displayed everywhere in gray.
  2. User cannot be added to new projects. (Does not show up when searching for users to add)
  3. User does not appear in list of Producers (if he/she was a producer).
  4. User cannot be made the manager or owner of a project (Edit Project, change producer).
  5. User shows up as assigned to schedule steps.
  6. User's estimated hours and actual hours remain in the Schedule.
  7. User cannot be assigned to schedule steps.
  8. User can have his/her rate modified in Edit Budget.
  9. User can be found in the User system (by searching).
  10. User can no longer access the system.

Deleting a User

The following logic applies when a user is deleted:

  1. User is displayed everywhere in red.
  2. User cannot be added to new projects. (Does not show up when searching for users to add)
  3. User does not appear in list of Project Managers (if he/she was a manager).
  4. User cannot be made the manager or owner of a project (Edit Project, change manager - would not show up in Manager list)
  5. User's estimated hours and actual hours remain in the Schedule.
  6. User shows up as assigned to schedule steps where actual hours exist.
  7. User cannot be assigned to schedule steps. (Shows up in User Assignment window, but cannot be added, Availability goes to N/A)
  8. User can have his/her rate modified in Edit Budget.
  9. User cannot be found in the User system.
  10. User can no longer access the system.
